Once imported the raw trial balance data should be in the correct section (if section column or section names are used on input – see trial balance import) – if not it will need to be sorted as follows:
- May drag and drop lines to change the section or the sequence by clicking the row while moving the mouse
- May select multiple lines to drag by holding ctrl/cmd or shift while clicking rows (selected line shows as blue)
- Selected lines may also be deleted using the delete key
- May also change the section by using edit option on the left side of the row (pencil icon)
- Totals for each section have a solid line above and double line below them. These will show at the bottom of every section and are recalculated every time something on the Trial Balance is updated.
- Lines and subtotals may be manually added from the drop-down box that appears to the right when hovering over a line:
- Once sorted the trial balance data may be subtotalled (e.g. total - GST below):
- Clicking Add Total from the dropdown at the right opens an auto-fill option, populated with all the suggested totals of the Tier 3 (NFP) standard, plus other commonly required subtotals. Just start typing or click the empty field to display the options. Or type in your own sub-total if there is no match.
- Use subtotals to combine figures to match the trial balance amounts to the draft financial statements or for totalling divisions or classes of accounts.
- Individual accounts or subtotals may be flagged (click the star to the right of the line item) as risks for further analysis (see risk identification and analysis).
- Subtotals may be moved by dragging and dropping into different places from the drag handle that appears while hovering over them - the total will update.
- Subtotals are calculated on lines above them up to the section heading or to another sub-total - only one level of totals may be created.
- Subtotals created in one year are maintained for future years after roll-over and may be further edited or deleted as required.
- Once the required section lead schedules are created from the A1 evidential testing area subtotals are automatically transferred onto these (with line data) from the trial balance page.
